Firms stay on a tool they dislike because moving is the hard part. So the move is ours: we look at the system your firm comes from, build the import against it, your team checks the result, and you choose the day. From Cialfo, CounselMore, a spreadsheet or a mix of them.
How a switch goes
Four steps. None of them yours to do.
The call
Thirty minutes. Which system your firm uses today, how many students and counselors, what else is in use beside it: the spreadsheet of hours, the folder of drafts.
The import, built against your system
We read what your system can give and build the import for it. Where it offers no export, we read it with your credentials, once, and store nothing beyond your own tenant.
Your team checks it
The import lands on a staging tenant. Your lead counselor opens students, notes and lists and says what is wrong. We correct it before anyone logs in for real.
The day you choose
You name the switch date. On that day your counselors log in to Via with their students already in it, and the pilot starts on real work.
What moves
Everything the source can give. On the record it belongs to.
A note lands on its student with its files, a college on its list with its reason, a test result with its sections. Nothing is retyped, and nothing arrives as a loose file.

When

February to August
The seniors are done, the juniors have not started. A switch in that window meets no deadline on the way.
In the season, if you must
A firm can switch in October. The import runs the same; the pilot then starts with live deadlines in it, so the team checks faster and asks more.
Before the juniors arrive
The best day is the one before the first junior meeting of the year: the class starts in Via, and nobody ever sees the old tool.

Between February and August the seniors are done and the juniors start. A pilot in the spring means a switch without a deadline in the way.
