FAQ
The questions counselors ask. Answered in one to three sentences.
What Via is, what it costs, where the data lives, how a switch goes, the Common App, the families, the demo and the pilot. Anything else: a 30-minute call, or an email.
What Via is
Is Via for one counselor, a firm or a school?
All three. An independent counselor runs their students and their hours in it; a firm adds the caseload across counselors and the portal with its name on it; a school adds every senior, the counselors’ load and the families. Same product, one price per student.
Does Via recommend colleges to my students?
No, by design. Via shows the data beside the student: the test ranges, the admit rate, the Common Data Set, the deadlines. You judge. A family sees a college’s category only once you have set it.
How is time tracked?
Where the work happens: on a note, a call or a meeting, with a start time and a duration, or on the student’s Time tab. The hours report shows the time per student, counselor and month, so you know what a package costs.
The price
What does Via cost?
$25 per active student and year, paid yearly in advance by card. Via starts at $1,500 a year, which covers up to 60 students; every student above that is $25. Every seat and the family portal are included. An archived student costs nothing.
Is there a plan for one counselor?
The entry plan is it: $1,500 a year for up to 60 students, the same product as a firm gets, nothing per seat. A counselor on their own starts with the spreadsheet import and a video, and writes to us when a question comes up.
How does the billing work?
Once a year in advance, by card, in US dollars. The count is the active students on that day; a student you archive after their decision costs nothing from the next renewal. No monthly charge, no fee per counselor, admin, student or parent.
What does a school pay?
The same $25 per student its counselors work with in Via, usually the seniors and, from spring, the juniors, on the school’s fiscal year. The district’s own needs, such as its agreements and its sign-on, are named items on the quote, never a higher rate.
The data
Where is the data, and who sees it?
In Microsoft’s Azure cloud in the EU, run by a Swiss company under Swiss and EU privacy law, with a data processing agreement in which your firm is the controller. Counselors see their students; admins see the firm; a student and their guardians see what you share with them, and nothing else.
Who at Via can see our students?
Nobody in daily work. When a firm asks for help with a case, one named person opens that tenant for that case, and the access is logged. Error reports carry no name, email address or id, so a broken page never leaks a record.
Switching
What does a switch cost?
Nothing beyond your credentials for one run. The migration is included in the price: we look at the system your firm comes from and build the import against it, so the pilot starts with your students already in Via.
What comes over, and who checks it?
Students, guardians, notes, college lists, test results and files, from Cialfo, CounselMore, a spreadsheet or a mix of them. The import lands on a staging tenant first, your lead counselor checks it, and you choose the switch date; most firms switch between February and August.
The Common App
Does it work with the Common App?
Via tracks every application with the steps your firm follows per college, from the first draft to the decision; the Common App submits it. A direct connection is on our plan for schools.
The families
Do students and parents need an app?
No. The portal is a web page that works on any phone and can be added to the home screen. It carries your name and logo, so to the family it is your app.
What does a parent see?
Their child’s week: what is due, what changed, the applications with their steps and who does each, read only. Every Monday the same arrives as an email in your firm’s name. A college’s category appears to them only once you set it, after your conversation.
The demo and the pilot
How does a demo go?
A 30-minute call over video in your afternoon, in a demo tenant with demo data, on the questions you bring. It ends with the offer of a 60-day pilot in a tenant of your own.
What happens in the pilot?
60 days in a tenant of your own, with your data imported by us and two counselors using Via on real students. Nothing to pay, nothing to install. It ends with a one-page report of what Via found in your data, and then the yearly contract, or not.
See Via with your own students in it.
A 30-minute demo in your afternoon, then a 60-day pilot with your data imported. No card, nothing to install.
